How to Set Up Tags (Timecards)

This video will show you how to set up tags that you can use for your employees and equipment on their time cards. 

 

  1. Go to your organization's page by clicking the organization icon  in the top right corner of your home screen. 
  2. Click the "Tags" icon on the left side of the screen. 
  3. You will be able to add tags for both Timecards and Time and Materials. Another article coming soon will show you how to add tags for Time and Materials. 
  4. There are three types of tags you are able to add for timecards: Employees, Equipment, and Hours. 
  5. Hours: 
    1. Click the green plus symbol to add a new tag. 
    2. Designate the tag code, name, and ID. If you are using a payroll integration system, make sure your tag is similar to the designation you use in your payroll system. 
    3. Select the color you want for the tag. 
    4. You are able to designate the Pay Type Visibility. This is the type of hours that the tag will be available for (regular, overtime, and other). If you would like the tag to only be available for some pay types, check the proper boxes. 
    5. NEW functionality: Select "allow timecard hours" in order to allocate hours within the same cell/cost code across multiple tags. 
    6. To check the tags, go to your timecard. Select the correct employee under the cost code you want, and you will be able to review the hours with the tags. 
  6. Employees: 
    1. Click the green plus symbol to add a new tag. 
    2. Designate the tag code, name, and ID. If you are using a payroll integration system, make sure your tag is similar to the designation you use in your payroll system. 
    3. Select the color you want. 
    4. You are able to select "Lock Hours Edit." This means that when the employee has the tag assigned to them, you will not be able to add hours for that employee. This might be helpful for tags like vacation. 
    5. To check the tag, go to your timecard. The tags will be applied to the employee themselves, not the hours they work. To add the tag, click on the employee name and then click on the tag you want added. 
  7. Equipment: 
    1. Equipment tags operate in the same manner as employee tags.
