Dispatching - Text Notification Set Up / Instructions

This article talks about Riskcast's text notification capabilities (Riskcast Text Message Opt In Policy) which currently are limited to the "Dispatching" module. Please note that once additional text notifications are available, this setting will become a stand alone setting outside of the Dispatching module. This article assumes the text nofications have been enabled per Dispatching Configuration and assumes that permissions for the user accessing the Text Messages area have been set to "Full Access" (default option is "None", other options are "Read Only" and "Full Access"). 

 

 

Once the text notifications are enabled, within the Organization area, a new tab will appear called "Text Messages". Within that area will be a list of all employees and their text message status. A few key items to note:

 

1. An employee without a "Primary Mobile Number" set up within their Personal Information tab will not be able to receive text messages from the system. 

2. An employee with a "Primary Mobile Number" must be invited to "Opt In" (or they can also "Opt Out") to receive text messages from the system. 

 

 

 

 

Inviting an Employee

 

To send an employee an invite, simply ensure they have an existing phone number and click the green "Invite" button related to their employee record.

 

The employee, assuming the phone number is correct, will receive a text message with the following text: "You have been invited to opt in for text notifications from Riskcast Solutions Inc. Reply '1' to confirm or '2' to deny. Msg & data rates may apply. Msg frequency varies"

 

Employees who wish to receive notifications will need to reply with '1'. They will then receive a message that reads 'You have successfully opted in for SMS Notifications'

 

 

At this time, the "Text Messages" status table will update that employee's text message status to "Opted-In" and that employee will be able to receive text notifications from the system. Between the time the invitation was sent and the time the employee "Opts In", the status table will read "Pending" for that employee. If an employee replies '2' at any point, they will receive a message that states 'You have successfully OPTED-OUT for SMS Notifications' and they will no longer be able to receive text messages from the system unless they are re-invited. If the employee "Opts Out", that employees status will read "Opted-Out". 

 

If an employee "Opted-Out", they are not able to be re-invited legally. They would need to respond with '1' or 'HELP' to the notification phone number. 

 

 

Inviting All Employees

 

Using the "Invite All" or "Re-Invite All" will invite all employees with a valid phone number. Click Refresh to see the status changed to "Pending" for all employees with a valid phone number. 

 

Disabling All Employees

 

Using the "Disable All", you can turn off text messages to all employees. Any employee who has not "Opted-Out" will have their status updated to "Disabled" and be able to be re-invited at any given time.
