Running a Payroll Export

Once your organizations' timecards are ready, you'll have the ability to export the data from Riskcast to upload or process through your accounting system. While we have a default payroll export available in our platform, most organizations have their own custom template which matches the requirements of the host system. 

 

To run your payroll export, follow the steps below: 

 

1. Open 'Timecards and Payroll'

 

 

2. Select the 'Payroll' tab and under the dropdown menu, select View: Payroll. You can then select your designated export, the required week ending date and filter through additional items such as Employee, Tags, and/or Timecard Types.

  • Under export status, you will be defaulted into the view "waiting for export". This is where you will find the timecards available for processing. Once you're in this view, you will see the status of the timecards. Anything approved, will be ready to be run. If you see items in orange, or with three dots - those timecards are either open or submitted and need to be approved prior to moving forward. Depending on your configuration settings, you may be able to export jobs with partially approved time card. This is a setting managed at the company level, and can only be edited by a admin. 

 

  

 

 

 

 

3. First, an user must mark the project as "Ready for Export", the checkboxes to the left of the items will become enabled. Here you can select one, multiple or all projects available. Once all jobs are selected, click the submit export button.    

 

Note: While the ready for export selection and running the export can be handled by the same user. We do allow granular permissions that can be granted to a user to have "Ready for export" visibility, but cannot run the export. An example use case may be a Project Manager or other supervisory staff that may mark the project as ready to be exported, while the Payroll Associate is the user to run the exports. 

 

 

 

4. Once all jobs have processed, the queue will clear. Proceed to the dropdown menu named "Export Status" and switch your view to "exported" 

 

 

5. From the exported view, select all jobs that you want to download. You can individually download each project, or you can do a batch download. 

(Note: if your Payroll integration occurs via API, you will not have to do the following steps, once you click 'submit export' on the previous step - the timecard data would be loaded into your system - waiting for you to process it) 

 

 

6. To download a batch, select multiple or all jobs, and click "batch download" At this moment, you may still elect to download files as individual job files or create one combined file with all job information. 

 

7.  From here, you'll be able to use your download file and upload into your accounting system. 

 

Lastly, to verify the information that was sent from Riskcast to your host system, you can run our Reconciliation Report. This report is available in a summary view (total hours per job) or a detailed view (which includes a breakdown total hours per job with employee details – including hours, hours type, rate, per diem, etc.)
